Start with the handoff, timing and travelers
Business travelers, speakers, small delegations and private clients who need a polished vehicle, punctual handoff and precise itinerary handling.
- Specify the required vehicle class instead of relying on “luxury” alone.
- Coordinate flight, hotel and venue contacts in one movement sheet.
- Choose transfer, hourly, full-day or event-based service.
- Confirm waiting, parking, overtime and last-minute change rules.
Define what “VIP” must mean for this movement
For one traveler it may mean a quiet executive sedan and a discreet airport handoff. For a delegation it may require multiple vehicles, coordinated dispatch and venue contact. Share passenger roles, preferred vehicle class, luggage and whether greeters or assistants are involved.
A brand request is not guaranteed unless the confirmed quote names it. When exact model availability matters, request that explicitly and allow time for checking rather than treating all premium vehicles as interchangeable.
Business schedules need operational detail
Provide every known stop, meeting start time, venue entrance and local contact. Hourly service still requires a geographic boundary and planned finish. Drivers must comply with legal stopping and parking rules even when a building’s front door appears convenient.
For events, changes should flow through one designated coordinator. Conflicting instructions from several passengers create avoidable delays. The service confirmation should name the person authorized to change the movement.
Airport and hotel protocol
Flight monitoring, terminal meeting and baggage timing should be written just as clearly as in a standard airport transfer. Additional greeting or airport access is not implied by the vehicle class and may fall under a separate assistance service.
Hotel privacy requests, name-board wording and contact preferences can be noted in advance. No public page should be used to send passport or payment-card data.
How the request becomes a confirmed service
- Send a movement brief
Provide travelers, vehicle expectation, flights, venues, luggage, contacts and required protocol.
- Review the operating scope
We confirm vehicle class, schedule, waiting, parking, overtime and authorized change contact.
- Issue final dispatch details
Driver and meeting information are shared through the agreed contact path before service.
Practical questions
Can you guarantee a specific vehicle model?
Only when the written confirmation names that model or an explicitly agreed equivalent.
Is airport meet-and-assist included?
Not automatically. Terminal assistance and vehicle transport are separate scopes and depend on access rules.
Can the schedule change during hourly service?
Reasonable changes may be possible within the confirmed hours, area and driver rules; overtime or distant changes can affect the quote.
